This Privacy Notice explains how Trainrz ("Trainrz", "we", "us") collects and uses personal data when you use our website at trainrz.com and the associated coaching-marketplace service (the "Service"). Trainrz is the data controller for the personal data described in this Notice.
2. What personal data we collect
- Account data — name, email address, password (hashed), and any profile details you add (headline, city, etc.).
- Coach & organization data — schedules, availability, gyms, join codes, and other content you publish to your profile or organization page.
- Booking data — session times, notes, and messages exchanged between athletes and coaches.
- Communications — messages you send us for support, feedback, or account questions.
- Technical & usage data — IP address, device and browser type, pages viewed, and basic diagnostic logs.
- Cookies — a small number of strictly necessary cookies used for authentication and session management.
Payment card details are collected directly by our reseller Paddle.com and are never seen or stored by Trainrz.
3. How we use personal data
- To create and manage your account (legal basis: performance of a contract);
- To provide the Service — displaying coach profiles, matching athletes with coaches, running bookings and schedules (contract);
- To process payments and memberships via Paddle (contract, legal obligation);
- To send transactional emails such as booking confirmations and account notices (contract);
- To protect the Service against fraud, abuse, and security threats (legitimate interest);
- To improve the Service, including diagnosing issues and understanding usage patterns (legitimate interest);
- To comply with legal obligations (legal obligation).
4. Who we share personal data with
- Service providers / subprocessors — hosting, database, and email delivery providers that operate the Service on our behalf under confidentiality obligations.
- Paddle.com — our Merchant of Record, which handles payments, subscription billing, tax compliance, invoicing, and refund handling for all paid purchases.
- Coaches, athletes, and organizations — profile information, availability, and booking details are visible to the parties you interact with on the marketplace.
- Professional advisers — legal, accounting, and insurance advisers where necessary.
- Authorities — where we are required to do so by law or valid legal process.
We do not sell your personal data.
5. International transfers
Some of our service providers may process personal data outside your country of residence. Where personal data is transferred out of the UK or EEA, we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions.
6. How long we keep personal data
We keep personal data only for as long as we need it to provide the Service and to meet our legal, tax, and accounting obligations. When it is no longer required, we delete or anonymize it. You can request deletion of your account at any time (see "Your rights" below).
7. Security
We use appropriate technical and organizational measures to protect personal data, including encryption in transit (HTTPS), access controls, and row-level security in our database. No online service can be guaranteed 100% secure — please use a strong, unique password and keep your account credentials confidential.

Depending on where you live, you may have rights to access, correct, delete, restrict, or port your personal data, to object to certain processing, and to withdraw consent where processing is based on consent. If you are in the UK or EEA you also have the right to lodge a complaint with your local data protection authority. To exercise any of these rights, contact us through the support channels listed on our website — we will respond within one month.
9. Cookies
Trainrz uses only strictly necessary cookies required for authentication and to remember your session. We do not currently use advertising or third-party analytics cookies. If that changes we will update this Notice and, where required, ask for your consent.
10. Changes to this Notice
We may update this Privacy Notice from time to time. If we make material changes we will update the "Last updated" date at the top of this page and, where appropriate, notify you by email or in the app.
